Gmail

The Gmail integration connects DelegateZero to your inbox so it can watch for incoming requests, surface decisions proactively, and send replies on your behalf - after your explicit approval.

Setup

  1. Go to Integrations → Gmail in the dashboard
  2. Click Connect Gmail and authorize access via Google OAuth
  3. DelegateZero begins scanning immediately

DelegateZero requests three Gmail permissions: read access to scan your inbox, compose access to save drafts, and send access to deliver approved replies. Nothing is sent automatically - you approve every response before it goes out.

What gets surfaced

Not every email becomes a queue item. DelegateZero uses a classification step to distinguish emails that require a concrete decision or approval from routine messages, newsletters, and FYI emails. Only emails with a clear action item requiring judgment are surfaced.

Examples of emails that get surfaced:

  • A vendor asking for approval on a revised quote
  • A partner requesting a response to a partnership inquiry
  • A candidate asking about a job offer timeline
  • A customer escalating an unresolved issue that needs a call

Examples that are ignored:

  • Newsletter subscriptions and product updates
  • Automated notifications and receipts
  • FYI messages with no action item

Scan cadence

DelegateZero polls your inbox every 15 minutes using Gmail's history API. Only messages added since the last scan are reviewed - the system does not re-process messages it has already seen.

Queue behavior

Each surfaced email runs through the full decision pipeline. By the time you open your Queue, a drafted response is typically already waiting. The queue shows the email's sender, subject, and outcome status. You review the draft, then choose to approve and send, edit before sending, or dismiss.

Drafts

When DelegateZero processes a decision, it saves a draft reply to your Gmail Drafts folder. You can review and send from the DelegateZero dashboard, or open the draft natively in Gmail if you prefer to edit it there first.

Sending

By default, DelegateZero does not send email without your explicit approval. When you approve a response in the dashboard, it is sent via Gmail on your behalf and the draft is removed from your Drafts folder. If you dismiss a queue item, no email is sent and the draft is deleted.

Auto-reply

If you enable auto-reply in Settings > Scans, DelegateZero sends the generated reply automatically without waiting for your review. You can configure a delay before sending (from immediate to 1 day) to give yourself time to review and cancel. The default delay is 10 minutes.

Alternatively, enable save draft emails to have DelegateZero save replies as drafts in your Gmail Drafts folder without sending. You can then review and send from Gmail directly. This option does not apply when auto-reply is enabled.

Scan controls

You can fine-tune what gets surfaced from Gmail in Settings > Scans:

  • Scan sensitivity - Controls how loosely or strictly incoming emails are classified. Conservative filters out anything ambiguous. Liberal surfaces borderline items so fewer things slip through.
  • Scan identity - Describes who you are so the scanner can determine whether emails are directed at you.
  • Excluded senders - Email addresses or @domain.com wildcards to always skip.

All scan settings can be overridden at the profile level when profiles are active. Profile-level overrides take precedence over workspace defaults.

Disconnecting

You can disconnect Gmail at any time from Integrations → Gmail. Existing queue items are not deleted.
